Privacy Policy
Your information helps us protect your family. This policy explains what we collect, why we collect it, who we share it with, and the control you have over it.
We collect only what we need to quote, place, and service your coverage. We do not sell your personal information. Mobile opt-in information is never shared or sold to third parties or affiliates for marketing or promotional purposes.
01Introduction
Eterna Insurance Solutions ("Eterna," "we," "us," or "our") is an independent insurance agency and Insurance Marketing Organization based in Irvine, California. Protecting your information is part of protecting your family, and we take it seriously.
This Privacy Policy explains how we collect, use, share, and safeguard personal information when you visit goeterna.com (the "Site"), request a quote, book an appointment, apply to become an agent, or work with one of our licensed agents.
By using the Site or our services, you agree to this Privacy Policy. If you do not agree, please do not use the Site or submit information to us.
02Scope of this policy
This policy covers information we collect through the Site, through our forms and phone lines, and through our work with clients and agents.
It does not cover the privacy practices of insurance carriers, third party quoting platforms, payment processors, or any other company we link to. Once a carrier receives your application, that carrier's own privacy notice governs how it handles your information. We encourage you to read it.
03Information we collect
The information we collect depends on how you interact with us. We may collect the following categories.
Name, mailing address, email address, phone number, date of birth, and, when an application requires it, Social Security number or government ID number.
Medical history, height and weight, tobacco use, prescriptions, and other health details required for insurance underwriting.
Existing coverage, beneficiary details, coverage goals, policy numbers, and application and underwriting status.
Income range, net worth or assets where suitability requires it, and bank or payment details used to process premiums, which are handled by the carrier or a secure processor.
For agent applicants: license numbers and state, resume details, work history, carrier appointments, and background screening results where permitted.
IP address, browser and device type, operating system, pages viewed, time on page, referring source, and cookie and pixel identifiers.
Emails, text messages, form submissions, chat transcripts, and call recordings where recording is disclosed and permitted.
Conclusions we draw about your likely coverage needs so an agent can prepare useful options for you.
Some of this is sensitive personal information under state law, including Social Security number, financial account details, and health information. We collect it only when it is needed to quote, apply for, or service insurance, and we use it only for those purposes and for related legal and compliance requirements.
04How we collect information
- Directly from you. Contact forms, quote requests, appointment bookings, agent applications, calls, emails, and texts.
- From our licensed agents. Notes and details gathered during your consultation and application.
- From insurance carriers. Application status, underwriting decisions, and policy information tied to your placement.
- From consumer reporting and industry sources. With your authorization on an application, carriers and their vendors may obtain prescription history, motor vehicle records, MIB data, and similar reports.
- Automatically from your device. Cookies, pixels, session tools, and analytics when you visit the Site.
- From third parties. Lead partners, referral sources, marketing platforms, and public records, where permitted by law and where the source represents that you consented.
05How we use your information
- Prepare quotes, present options, and place coverage with a carrier
- Process applications and support carrier underwriting
- Answer your questions and service your policy over its life
- Schedule and confirm appointments with a licensed agent
- Send service messages such as reminders, status updates, and renewal notices
- Send marketing messages where you have consented, and honor your opt outs
- Recruit, contract, train, and support insurance agents
- Improve the Site, our content, and the way our team works
- Detect and prevent fraud and protect the security of our systems
- Meet legal, regulatory, recordkeeping, and supervision obligations
We do not use your health or financial information for advertising, and we do not use sensitive personal information to infer characteristics about you.
06How we share your information
We share personal information only where it is needed to do our job or where the law requires it.
- Insurance carriers and their underwriters. To obtain quotes, submit applications, and place and service coverage.
- Licensed Eterna agents. To prepare your options and support you before and after the sale.
- Service providers. CRM, email, scheduling, e-signature, hosting, analytics, and phone system vendors, under contracts that limit them to our instructions and require confidentiality.
- Professional advisors. Attorneys, auditors, and compliance consultants who support our business.
- Regulators and law enforcement. When required by law, subpoena, court order, or a state Department of Insurance inquiry.
- Business transfers. If Eterna is involved in a merger, acquisition, financing, or sale of assets, information may transfer as part of that transaction.
- With your direction. Anyone else you ask us to share with, such as a family member, trustee, or advisor.
07Selling and sharing your information
We do not sell your personal information for money, and we never sell health, financial, or application information.
Like most websites, we use advertising and analytics cookies that let partners such as Google and Meta measure our campaigns and show our ads to people who visited the Site. Under some state privacy laws, that activity can be treated as a "sale" or as "sharing for cross context behavioral advertising." You can stop it at any time.
- Use our cookie settings link in the Site footer to turn off advertising and analytics cookies
- Turn on a Global Privacy Control signal in your browser, which we honor as an opt out request
- Email info@goeterna.com with the subject line "Do Not Sell or Share My Information"
Mobile opt-in information will never be shared or sold to third parties or affiliates for marketing or promotional purposes. This applies to your phone number, your consent record, and any data tied to your participation in our text program, and it applies whether or not you opt out of anything else.
08SMS and text message privacy
Our text program is optional. If you opt in, you may receive appointment reminders, application and policy status updates, agent onboarding notices, customer care replies, and occasional promotional messages from Eterna Insurance Solutions.
What we collect for the program
- Your mobile number
- Your consent record, including the date, time, method, and the exact disclosure shown to you
- Message delivery and response data, such as delivery status and keywords you send
How consent works
You may opt in through a checkbox on a form, by texting us first, by giving verbal consent to a licensed agent on a recorded call, or by signing a paper or electronic form with SMS consent language. Your consent applies only to messages from Eterna. We do not transfer or share your consent with any other brand.
Consent to receive text messages is not a condition of purchase and is not required to get a quote, buy a policy, or contract as an agent.
Frequency and cost
- Message frequency varies and depends on the programs you join and your activity with us. Most subscribers receive fewer than 10 messages per month.
- Message and data rates may apply for certain programs, announcements, and notifications. These charges come from your mobile carrier, not from Eterna.
- Wireless carriers are not liable for delayed or undelivered messages.
Opting out and getting help
- Reply STOP to any message. We send one confirmation and then stop messaging you.
- Reply HELP, email info@goeterna.com, or call (949) 787-5212.
- You may revoke consent by any reasonable method, including telling an agent on a call. We honor requests promptly and no later than 10 business days.
Mobile opt-in information will never be shared or sold to third parties or affiliates for marketing or promotional purposes. We share your mobile number with our messaging platform only as needed to deliver the messages you asked for, under a contract that prohibits any other use.
09Email and phone communications
Email. When you give us your email address, you may receive service emails about your quote, application, appointment, or policy. With your consent, you may also receive educational and marketing emails. Every marketing email includes an unsubscribe link, and you may also email us to opt out. We will continue to send service emails you need, such as application status, even after you unsubscribe from marketing.
Phone. When you give us your number and ask to be contacted, Eterna and its licensed agents may call or text you about your request, including with automated technology. Consent is not a condition of purchase. We keep an internal do not call list and honor requests within 10 business days. Calls may be monitored or recorded for quality, training, and compliance, and we tell you when that applies.
10Insurance specific disclosures
As an insurance agency, we are subject to privacy rules that go beyond general website law, including the Gramm-Leach-Bliley Act (GLBA) and the insurance information privacy laws of each state where we operate. Under those rules:
- We collect nonpublic personal information only as needed to provide insurance products and services
- We restrict internal access to your information to people who need it to serve you
- We maintain physical, electronic, and procedural safeguards that meet or exceed applicable standards
- We limit disclosure of nonpublic personal information to what the law permits and what your service requires
- Health information collected for underwriting is handled under applicable state insurance privacy laws, consumer health data laws, and HIPAA where it applies
- We do not disclose your information to anyone for their own marketing purposes
Information we collect and process in connection with an insurance transaction is generally governed by the GLBA and state insurance privacy law. Some state consumer privacy statutes exempt that information from their requirements. Where an exemption applies, we still handle your information under the standards described in this policy.
11Cookies and tracking technologies
Cookies are small files stored on your device. We use them, along with pixels and similar tools, to keep the Site working, understand how it is used, and measure our marketing.
- Essential cookies. Required for the Site to load, keep forms working, and maintain security.
- Analytics cookies. Help us see which pages are useful and where people get stuck, for example Google Analytics.
- Advertising cookies. Let partners such as Google and Meta measure campaigns and show our ads to people who visited the Site.
You can control cookies through your browser settings and through the cookie settings link in our footer. Turning off essential cookies may break parts of the Site. To learn more about cookies, visit allaboutcookies.org.
Global Privacy Control. We recognize and honor the GPC browser signal as a valid opt out of the sale or sharing of personal information for the browser that sends it.
12Data security
We use technical, administrative, and physical safeguards designed to protect your information from unauthorized access, disclosure, alteration, and loss. These include:
- Encryption of data in transit using SSL and TLS
- Role based access controls and unique logins for staff and agents
- Multi factor authentication on systems that hold sensitive information
- Vendor due diligence and written confidentiality and security terms
- Secure disposal of records we no longer need
- Periodic review of our collection, access, and retention practices
No website or electronic storage method is completely secure, and we cannot promise absolute security. If you believe your information has been compromised, contact us right away at info@goeterna.com. If a breach affects your personal information, we will notify you and the appropriate regulators as required by law.
13Data retention
We keep personal information only as long as we need it to:
- Provide our services and maintain your relationship with us
- Meet insurance recordkeeping rules in each state where we do business
- Comply with tax, anti money laundering, and other legal obligations
- Resolve disputes and enforce our agreements
Insurance and agent records are generally kept for at least 5 to 7 years after the end of a policy or contract, and longer where a state requires it. Text message consent records are kept for at least 4 years, which covers the federal statute of limitations for telephone consumer claims. Quote requests that do not become applications are generally kept up to 3 years. When a record is no longer needed, we delete or de-identify it securely.
14Your privacy rights and choices
Depending on where you live, you may have the right to:
- Know and access. Learn what personal information we hold about you and get a copy of it.
- Correct. Fix information that is inaccurate or incomplete.
- Delete. Ask us to delete your information, subject to legal and regulatory retention rules.
- Port. Receive your information in a portable format where technically feasible.
- Opt out. Stop marketing emails, texts, and calls, and stop the sale or sharing of your information for targeted advertising.
- Limit sensitive information. Restrict our use of sensitive personal information to what is needed to deliver your service.
- Non discrimination. Exercise your rights without being denied service or given a different price.
How to make a request
Email info@goeterna.com or call (949) 787-5212. To protect your information, we will verify your identity before we act, usually by matching details you already gave us. An authorized agent may submit a request on your behalf with written permission and proof of identity.
We respond within 45 days and may extend once by another 45 days when a request is complex, and we will tell you if we need the extra time. In states that use a 30 day standard, we respond within 30 days. There is no fee for a reasonable request.
If we deny your request, we will explain why. In states that provide an appeal right, you may appeal by replying to our decision, and we will respond within 45 days. If we deny the appeal, we will tell you how to contact your state attorney general.
15California privacy rights
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, gives you the rights described in Section 14, including the right to know, delete, correct, opt out of the sale or sharing of personal information, limit the use of sensitive personal information, and be free from discrimination for exercising your rights.
In the past 12 months we have collected the categories of information listed in Section 3 from the sources listed in Section 4, for the purposes listed in Section 5, and disclosed them for a business purpose to the recipients listed in Section 6. We have not sold personal information for money. We may have shared internet activity information with advertising partners for cross context behavioral advertising, and you can opt out as described in Section 7.
Under California's Shine the Light law, you may request information about disclosures to third parties for their direct marketing purposes. We do not make those disclosures. Under California law, minors under 18 who are registered users may request removal of content they posted.
To submit a California request, email info@goeterna.com, call (949) 787-5212, or write to 43 Discovery, Suite 260, Irvine, CA 92618.
16Other state privacy rights
Residents of states with comprehensive privacy laws, including Colorado, Connecticut, Virginia, Texas, Oregon, Montana, Delaware, New Jersey, New Hampshire, Nebraska, Minnesota, Maryland, Iowa, Utah, Tennessee, Indiana, Kentucky, and Rhode Island, have rights similar to those in Section 14. These typically include access, correction, deletion, portability, and the right to opt out of targeted advertising, sale, and certain profiling.
We honor universal opt out signals such as Global Privacy Control in the states that require it. We do not use your information for profiling that produces legal or similarly significant effects. Where a state requires opt in consent to process sensitive data, we obtain it.
Residents of Washington and Nevada have specific rights regarding consumer health data. We do not sell consumer health data, and we collect it only with your consent and only to support an insurance application or an active policy.
Use the same contact methods in Section 14 to exercise any state right. Many insurance records are governed by the Gramm-Leach-Bliley Act and may be exempt from these statutes, as described in Section 10.
17Children's privacy
The Site and our services are not directed to children under 13, and we do not knowingly collect personal information from them. We may collect information about a minor from a parent or guardian when the minor is named as an insured or a beneficiary on a policy, which is a normal part of insurance and is provided by an adult.
If you believe a child under 13 has given us information directly, contact us at info@goeterna.com and we will delete it.
18Third party links
The Site links to carrier websites, quoting tools, scheduling tools, and other outside resources. This policy applies only to goeterna.com and our own services. We do not control how third parties handle your information and we are not responsible for their practices. Read their privacy policies before you share anything with them.
19Changes to this policy
We may update this Privacy Policy as our practices, technology, or legal obligations change. When we do, we will update the "Last updated" date at the top of this page. If a change is material, we will give additional notice where the law requires it.
Please review this page from time to time. Continuing to use the Site after we post an update means you accept it.
